Last updated: 4 November 2026

About this policy

Birkenhead City Cricket Club ("the club", "we", "us") respects your privacy and handles personal information in line with the Privacy Act 2020.

This policy explains what personal information we collect through our website (www.birkenheadcricket.co.nz), our club activities and our communications, how we use it, and the choices you have. It applies to players, parents and caregivers, members, volunteers, sponsors and anyone who visits our website or contacts us.

What we collect

We only collect personal information we need to run the club and respond to you. This may include:

  • Contact form enquiries: your name, email address, phone number, the subject you choose and your message.
  • Emails and phone calls: your contact details and anything you tell us.
  • Registration and membership: details you provide when registering to play, such as name, date of birth, contact details, emergency contacts and relevant medical information. Registration is handled through PlayHQ (see "Who we share information with").
  • Volunteers, coaches and sponsors: contact details and information needed for your role, including any safety checks required for working with children.
  • Photos and video: images taken at games, training and club events.
  • Website usage: general information about how people use our website, collected through cookies (see "Cookies and analytics").

Wherever possible we collect information directly from you, or from a parent or caregiver for players under 16.

How we use your information

We use personal information to:

  • respond to enquiries, including sponsorship and playing enquiries
  • register players, organise teams, fixtures and training, and let you know about cancellations
  • keep players safe, including contacting emergency contacts and managing injuries
  • send club news and updates, which you can opt out of at any time
  • manage volunteers, coaches, sponsors and grant funding
  • meet our obligations to Auckland Cricket, New Zealand Cricket and the law
  • understand how our website is used so we can improve it

We won't use your information for any other purpose without your consent, unless the law allows it. We never sell personal information.

Photos and children

We take photos at games, training and events to celebrate the club, and may share them on our website, Facebook and Instagram.

For junior players, we take extra care. We don't publish a child's full name alongside their photo, and we ask parents and caregivers to tell us at registration if they don't want their child photographed or shown online.

If you would like a photo of yourself or your child removed, email office@birkenheadcricket.co.nz and we will take it down from our website and social media as soon as we can.

Cookies and analytics

Our website uses cookies, which are small files stored on your device.

  • Google Analytics helps us understand how visitors use the site, such as which pages are visited and how people find us. It collects information like your general location, device and browser type, but not your name or contact details. You can opt out with the Google Analytics opt-out browser add-on.
  • Instagram feed: our website shows recent posts from the club's Instagram account. Viewing or clicking on this content may let Instagram (Meta) collect information under its own privacy policy.
  • Essential cookies help the website and contact form work properly and protect it from spam.

You can block or delete cookies in your browser settings. Some parts of the website may not work as well if you do.

Who we share information with

We only share personal information when it's needed for the purposes above, or when the law requires it. This may include:

  • PlayHQ, the registration and competition platform used by New Zealand Cricket. When you register through PlayHQ, your information is also handled under PlayHQ's privacy policy.
  • Auckland Cricket and New Zealand Cricket, for registrations, competitions, representative selection and safeguarding.
  • Coaches, managers and club volunteers who need your details to run teams and activities.
  • Service providers who help us run the website and email, such as our website host and Google. They may only use the information to provide their service to us.
  • Emergency services or authorities, where there is a serious risk to someone's health or safety, or where the law requires it.

Some of our service providers store information on servers outside New Zealand, such as in Australia or the United States. We use reputable providers who are required to protect personal information to a standard comparable to New Zealand law.

Storage and security

We take reasonable steps to protect personal information from loss, misuse and unauthorised access. Our website uses a secure (HTTPS) connection, and access to club records is limited to the people who need it.

We keep personal information only as long as we need it for the purposes above, or as long as the law requires. When we no longer need it, we delete or securely destroy it.

If a privacy breach is likely to cause someone serious harm, we will notify the affected people and the Office of the Privacy Commissioner, as the Privacy Act requires.

Your rights

You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if it's wrong. Parents and caregivers can make these requests for their children.

To make a request, email office@birkenheadcricket.co.nz. We will respond within 20 working days. We may need to confirm your identity first.

You can also unsubscribe from club emails at any time using the link in the email or by contacting us.

If you have a concern about how we've handled your information, please contact us first so we can try to put it right. If you're not satisfied with our response, you can complain to the Office of the Privacy Commissioner.
